What you need to know about the role-

You will be responsible for overseeing the software asset lifecycle utilizing ServiceNow’s Software Asset Management module to maintain accurate records, optimize software usage/ spend, and ensure compliance with licensing agreements. You will also be responsible for identifying gaps in the existing Software Asset Management processes and execute a roadmap to improve the SAM (Software Asset Management) processes.

Meet our team:
The SAM (Software Asset Management) Team is part of EUX and helps fulfil all software requests of end users and helps the organization optimize the overall spend of all Software contracts. The team is responsible for managing the software assets of the company throughout its lifecycle - by onboarding all contract and entitlement records into ServiceNow SAM module and managing a centralized database that helps track all renewals and contract owners. We are also responsible for managing the end-to-end software asset lifecycle management processes.

You as a Business Analyst on this team will help effectively manage and optimise the organization's software assets. You will be responsible for ensuring license agreement compliance, tracking software inventory, and implementing best practises to optimise software utilization and costs.

Job Description:

Your way to impact:

  • You will impact the success of PayPal by identifying gaps in the existing SAM business processes and recommending solutions to business problems to ensure the overall risk reduces while efficiency increases. You will also be collaborating with IT and Non-IT teams within PayPal to not only fulfil their software requirements but also to manage vendor agreements/renewals/audits.

  • As a subject matter expert, you will use process methodologies to serve as an internal coach to help others identify product enhancements. In addition to that, the role must support all efforts to expand software visibility of total footprint in software asset management tool. Primarily focused on onboarding all the contracts in SAM Pro and ensuring all included info is accurate and complete. Creates, maintains process, and references documentations. This may include policy descriptions or process flows.

  • You will also help improve the visibility of software assets that PayPal owns; You will help determine what the company owns and where they are currently deployed. Also, help improve the usage and life of software assets and drive more financial and operational value to PayPal.

Your day to day

In your day-to-day role:

  • As a Business Analyst, you will be responsible for business process identification/implementation/efficiency, related ServiceNow SAM configurations, and effective communication with key stakeholders.

  • Complete the monthly forecast using the collected data for software contracts.

  • Work with sourcing team to onboard new software contracts in ServiceNow

  • Work with managers to develop a complete yearly budget based on software contract spend.

  • Work within a team environment to perform SAM with a focus on cost, control, compliance, and business objectives. Serve as a software licensing expert and analyse Information Technology (IT) vendor contracts and license terms.

  • Collaborate with IT and non-IT team members to oversee software asset procurement and management. Enhance the scope and quality of license data, utilizing it for compliance reporting and improving software discovery tools and data collection.

  • Support software compliance audits and other projects. Promote continuous improvement and best practices.

  • Understand and capture entitlements and essential terms from contracts and related documents. Identify opportunities to optimize software usage and reduce costs.

  • Configure, manage, and report using Software Asset Management (SAM) tools and software asset repository. Conduct software compliance reviews and monitor for compliance risk and savings opportunities.

  • Maintain and update SAM policies, including entitlement and deployment processes. Manage project tasks and deliverables related to SAM processes across teams.

  • Prepare licensing and optimization information for negotiation and execution of agreements. Coordinate efforts to review and procure enterprise software assets.

  • Provide day-to-day support for license and software assets management, ensuring requests are fulfilled. Collaborate with IT teams to provide financial data for budgeting, cost allocations, and cost-benefit analyses.

What do you need to bring-

  • Bachelor’s degree OR appropriate combination of education and experience

  • 5+ years’ experience in business analysis, advanced Excel skills - including Pivot, advanced functions such as VLOOKUP and IF; macros, and proficiency with other Microsoft Office tools and Visio.

  • Strong analytical and problem-solving skills.

  • Hands-on experience enabling process workflows in ServiceNow.

  • Experience in managing enterprise software licensing agreements and contracts.

  • Proficiency in various software licensing models.

  • Ability to create and maintain software license, contract, and financial reports.

  • Experience documenting business processes with different target audiences in mind (i.e., business stakeholders, leadership, and or technical SME’s)
