Executive Assistant

Iron Systems INC. Noida, Uttar Pradesh (Onsite) Full-Time
Job Responsibilities:
Administrative Support:
  • Manage the executive’s calendar, ensuring all appointments and meetings are scheduled and prioritized effectively.
  • Coordinate and handle both internal and external meetings, including setting up virtual conferences.
  • Perform various administrative tasks such as filing, data entry, expense tracking, and other office management duties.
           
 Communication:
  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Prepare and edit correspondence, reports, and presentations as required.
  • Draft and proofread memos, reports, presentations, and other documents as needed.
  • Facilitate communication from department heads and technology teams.
Meeting Coordination:
  • Coordinate and prepare materials for meetings, including agendas, presentations, and relevant documents.
  • Attend meetings, take detailed notes, and distribute meeting minutes or action items to participants.
             
Documentation & Reporting:
  •   Compile and maintain documents, reports, and data relevant to the department.
  •    Assist in the creation of technical presentations and departmental reports.
             
 Project Management:
  •  Perform various administrative tasks such as filing, data entry, expense tracking, and other office management duties.
  •  Assist in preparing and managing budgets, expense reports, and financial documentation.
  •  Ensure timely completion of tasks and report on progress to the CTO.       
   Departmental Coordination:
  • Aid in the preparation and coordination of departmental budgets.
  • Schedule and coordinate technology department meetings and events.
  • Assist with onboarding new team members.
             
    Confidentiality:
  • Handle confidential information with discretion and maintain the confidentiality of sensitive company and personal information.
             
  Relationship Management:
  • Build and maintain positive working relationships with internal and external stakeholders, including clients, partners, and colleagues.

Technical Experience (Must Have):
  • Proficiency in office software, including Microsoft office Suite (Word, advance Excel, PowerPoint, Outlook) and relevant collaboration tools.
  • Minimum of 3-5 years of experience supporting C-Level Executives, preferably within a technology department or technology-focused company.
  • 2+ years of experience working with clients/customers based out of USA or Canada

PMO Certification:
  • Program management certification preferred.

Education:
  • Bachelor's degree (Information Systems preferred) or equivalent work experience.
